Step 5. Send Boxes to University Archives

Prior to sending materials to Archives, you will need to complete the transfer form which can be found on the Transfer Guidelines page. The Archives will verify the transfer form and contact the office/donor to make arrangements for physical transfer of the material.

Do NOT send records via campus mail or truck service without prior authorization from the Archives. The Archives will need to know the total volume and the anticipated date and time of transfer.

Tips for preparing materials for pickup:

  • All materials must be in boxes and/or containers. Unboxed/loose items may not be picked up.
  • All materials must be in an easily accessible location for pickup. Ideally, this would be near a loading dock. If the items are in another location, they must be somewhere a cart and individuals can easily access via elevators, hallways and doors.
  • Have someone available to meet the staff and coordinate assistance with the transfer if possible.
